The Federal Work-Study Community Service (FWSCS) program places FWS students with community service organizations to earn their work-study dollars. Participating students will work directly for a partnering non-profit agency to gain valuable service-oriented experience and improve the quality of life for community residents and low-income individuals. These unique work-study positions are designated to address issues such as: literacy training, social services, housing and neighborhood improvement, public safety, recreation, "at-risk" youth, community improvement, and arts education.
Placement sites must be registered with the Student Employment Office by filling out an annual Agreement for the Federal Work Study Program at UNCG. This document is mailed to previous participating agencies each spring semester to be completed for the following academic year. FWSCS partner agencies must abide by the conditions stated in this agreement.
According to the Department of Education and the Federal Work-Study Program, there must be a written job description on file for each work-study position. Please be clear and specific when writing your job description(s), as they must accurately reflect the tasks and nature of the work your student employee(s) will complete.
All job descriptions from the previous academic year will be included in the Agreement for the Federal Work Study Program packet sent to each agency in February. Supervisors should review each job description, make any desired changes, and return it to the Student Employment Office for approval. All approved positions will be posted on the SpartanCareers online job board starting in March of each year. Should a position description need to be changed, a new form must be submitted for approval.

FWSCS positions will be posted online via UNCG’s SpartanCareers job board. Students interested in one or more of the positions will fill out an FWSCS application and meet with the UNCG Student Employment Advisor for a screening interview. Once the screening interview is complete, contact information for the community service agency is given. The completed FWSCS student application is faxed to the community service agency. Students then call the community service agency contact to set up an interview. If the agency wishes to offer the student a position, the agency must send an email to the Student Employment Advisor stating the student name and position title.
Please note: Students MAY NOT work at your site until they complete the required University employment paperwork (I-9 Form, Federal and State Tax Forms) and the Student Employment Office has received an email from the supervisor confirming employment
Steps Involved in Hiring FWSCS Student Employees
Returning students may begin employment on or after August 11th once they have provided the Student Employment Office with updated contact information.
Students and supervisors will agree on a work schedule. Work study students can only earn the amount of their work study award. Please keep this in mind when scheduling students. For example, if a student has a $2000 award for the year, they may earn $1000 each semester. Being paid $8/hr averages out to roughly 8-9 hours/week if the student plans to work throughout the entire academic year. Please note that the FWSCS agency will be responsible for paying the student for any time they work over their award.

Supervisors are encouraged to use this form to track each FWS student employee’s
award balance.
Pay periods run from the 11th to the 10th of the following month. For example, a possible pay period would be January 11-February 10. Timesheets are due on the 10th of each month. Timesheets received after the 10th run the risk of not being sent into payroll, therefore delaying the student’s check until the next payday. University payday is the last working day of each month. Both the student employee and the site supervisor must sign time sheet. Time sheets may be faxed to 336-256-0391.
Release time from scheduled work hours must be requested through the CS agency supervisor in advance. However, it may not be granted depending on the needs of the placement site. If a student is unable to report to work at a scheduled time for any reason, he/she expected to notify their placement site prior to your work shift. Failure to report to work will be considered an unexcused absence. Making up missed hours may be made at the discretion of the site supervisor. Unexcused absences or excessive tardiness may be grounds for termination of employment.
Employees are permitted to work even when University classes are not in session. Students may work any time between 8/11 and 5/10 of the following year. The student must get approval from his/her supervisor and inform the Student Employment Office if they plan to work in between semesters or over breaks. There is no Federal Work Study Program during the summer.
Although evaluations are not mandatory, it is recommended that supervisors evaluate the student’s work performance at the end of each semester. This will maximize the student’s work experience and highlight the student’s strengths and weaknesses.
Students are expected to conduct themselves in accordance with federal and state laws, as well as UNCG policies and procedures.

Behavior that may warrant dismissal may include, but is not limited to, personal misconduct, excessive absenteeism, tardiness, poor quality of work, breach of confidentiality, violation of federal or state law, violation of UNCG policy, lack of professionalism, fraud, theft, or insubordination.
Any form of evaluation, disciplinary action or termination of an employee should be documented in writing and communicated to the student in a timely manner.

Supervisors are encouraged to use this (or similar) form in addressing performance
or behavioral issues with student employees. Please retain the original completed
form for your records, and submit a copy to the student and the SEO.
If you terminate a student, or a student chooses to separate from the position, you must complete a FWS Student Action Form to notify the SEO regarding the separation of employment.
